RECURRING HANDOFFS

Same handoff.
Next batch of files.

Keep the arrangement for a recurring report or recipient handoff. Assign the next PDFs to source roles, inspect every proposed copy, then review the new pages.

Capture the arrangement once

Arrange your PDFs, remove unnecessary pages, rotate pages and mark fixed areas. Create separate recipient versions with their own included pages and rules. Open Delivery setups and choose Capture this workspace’s setup.

Give the setup and each source role a useful name, such as “Monthly report” or “Cover sheet”. Inspect the complete configuration shown before saving. It includes original source page numbers in delivery order, rotation relative to the source, fixed areas and recipient names. It contains no source file names, IDs, original PDF bytes or reviewed flags.

Finding rules are excluded by default. Explicitly include them if they belong in a recurring handoff. Text-match rectangles from the old PDFs are excluded; included terms are searched afresh on new files. Names or values for one person may need changing next time.

Assign the next files deliberately

Start a new workspace with the next PDFs. Open the saved setup and choose one different PDF for each role. Nothing is matched automatically by file name, and no role is preselected.

Every source must have exactly the expected page count. Each included page must have matching proportions after the stored rotation. A mismatch blocks the whole preview; pages are never silently skipped. If the document structure has changed, create a revised setup from that structure. Page counts and proportions do not prove the content layout is the same.

Preview and create the copies

Change recipient names or finding terms for this batch if needed, then choose Update handoff preview. Switch between recipient versions and page positions to inspect the proposed marks on actual new pages. Matching rules cannot search a scan with no text layer; inspect scans yourself.

Confirm that you checked the roles and preview before creating the proposed versions. This replaces your current unsaved workspace with a new unsaved project. Save your current project first if you need to keep it. Existing saved projects are not changed; originals are shared in memory, and no PDF is automatically saved on your device.

Every page in every created version starts unreviewed. Check visible content, adjust areas and rules, then use Review & export. Inspect the resulting image-only PDF or per-source ZIP before sharing. Setups do not certify redaction or review and do not export every version automatically.

Revise the page plan deliberately

Open Edit source role names and expected page counts to rename a role or revise its expected count. Counts are still checked against the actual mapped PDFs. In Edit included page plans, choose a delivery version and move, remove or turn its planned pages. Turning an existing page also turns its fixed areas.

To append or replace a page segment, choose a mapped source role and enter original page numbers, such as 1, 3-5. The entered order is kept and duplicate page numbers in that entry are included once. Choose a rotation and append position or a position to replace, then explicitly use the mapped source pages. The new pages use their current proportions and start with no fixed areas; replacing a page clears only that page’s old areas. Other pages keep their areas. Add fixed areas after creating the workspace, then capture a revised setup if needed.

Each version needs at least one page, and every source role must appear in a planned page. Invalid counts, ranges or an unused role block preview and saving. Plan edits affect only this draft until you explicitly save it or create a workspace. Inspect the complete edited configuration before saving; every content change revokes the earlier preview and replacement confirmation.

Try the full recurring workflow

The two-batch example starts with fictional contact Jordan Lee and separate cover/report PDFs. Preview the example setup, choose the source roles, inspect Client and Internal versions, explicitly create them, review each page and inspect an actual export. Deliberately save the setup if you want to try a saved configuration.

Use Load next synthetic batch to replace the current workspace with fictional contact Morgan Chen and new PDFs. Unsaved changes require explicit confirmation. Reuse the saved or example setup, map the new files and change Client finding terms from Jordan Lee to Morgan Chen. Update the preview and review all pages again. Neither batch automatically saves files, settings or activity counts; the example does not demonstrate customer adoption or retention.

Keep or share the configuration

Up to 30 delivery setups can be saved in separate device storage. Use Edit names & rules to update a saved configuration, or give it a different name and save a copy. Changes in another tab or a deleted setup cannot be silently overwritten. Reload older app tabs before working across them.

Export uses the same complete configuration without device IDs or revisions. Importing explicitly saves it on this device, without applying it to documents. Setup files can be up to 1 MB, contain up to 100 source roles, five versions of 100 included pages each, and 1,000 fixed areas per included page and 10,000 in total.

Setup names, role labels, recipient names and finding terms can still be private. Device storage is not encrypted, can be cleared by your browser and is separate from saved projects. Deleting a project does not delete its setup or downloaded files. Keep originals separately and share configuration files deliberately.

Output limits stay the same

Exports contain newly rendered page images with marked areas burned in. Searchable text, text selection, accessibility tags, signatures, forms, links and attachments are removed. Unmarked visible information remains. Do not use an image-only export when searchable or accessible text is a requirement.

Build all recipient copies together

Use “Handoff review” to see all recipient progress. “Review all versions” navigates through unreviewed pages, advancing only after your explicit page approval; pause or select a page manually at any time. After reviewing every page in every version, open “Review & export” and select “All delivery versions, in one ZIP.” Choose one combined PDF per version or one PDF per source in each version. Inspect the file list and every prepared copy; a later failure offers no partial delivery. Default filenames use version numbers, and private names require an explicit choice. Keep the full ZIP for yourself, then send each recipient only their intended PDF. Recipient-version guide →
